The four roles explained — Owner, Manager, Editor, Read-only

Rated5 uses a fixed set of four roles. Every team member has exactly one, and it applies across the whole organisation.

Owner has full access to everything, including billing, adding or archiving premises, and anything else reserved specifically for the account owner. Manager covers almost everything an Owner can do day to day — settings, team management, exports, training oversight — short of the handful of actions tied specifically to ownership. Editor is built for day-to-day recording: temperatures, checklists, cleaning, deliveries, and stepping through a corrective action, but no access to settings, team management or exports. Read-only can view records and export them, but can’t record or change anything.

Rules that apply regardless of role

A few restrictions sit on top of the table above and can’t be worked around by role alone:

• A Manager can never change an Owner’s role or deactivate an Owner’s account — only another Owner can do that.
• Nobody, including an Owner, can change their own role or deactivate their own account. That always has to be done by someone else.
• An organisation must always have at least one active Owner. Rated5 won’t let the last remaining Owner be removed or downgraded.
• A Manager can only assign a team member to premises the Manager is themselves assigned to.
